Minutes of Georgia Gourd Society
Membership Meeting The meeting was called to order at 1:00 pm by Reggie Eakin, President. Introductions were made to include the officers and committee chairs. Old and new members present were Gary Kostick, Anne Touchton, and Karen and John Anderson to add a total of 16 members. This brought about the maximum quorum of 12 members present to vote. The minutes were read and approved as written with the exception of the inclusion of the show dates. President Eakin explained the aims and ideas of the GGS and talked about the growth of patches from 3 active in 2006 to 7 active at the present time. Tina Norford, Treasurer reported that there was $12,353.11 in the GGS account. This amount may not reflect some of the recent dues received. The report was accepted as presented and approved. The Membership Chairman’s Report from Bob James was read. The members present were reminded that dues should be renewed by January 31. There are currently 49 active members who have renewed and 117 who had not renewed at the time this report was drafted. The Presidents report and 2010 Show status was presented. The president’s report reviewed the 2010 budget process and reviewed the 2010 show volunteers list. Harlan Groover has been very ill and Troy Tatum is taking more of those responsibilities. The gourd table decorations will be a combined task of the Geechee Gourders and O’ My Gourd patches. Tina Norford, Workshop Chair reported that all teaching slots were filled. There will be four (4) classes per time slot for a combined total of 20 classes being offered at the show. Georgia Show Co-chair Troy Tatum reminded that all members should bring projects they have finished or are currently working on to be set up on Saturday between 2:00 PM and 4:00 PM for a State Wide Show and Tell Time. Everyone will have a chance to see the work of others and possibly gain an idea that they can use in their projects. Vendor applications are currently listed on the website. The rates are $50.00 for a 10’ X 10’ space, and additional fees of $25.00 for electricity, $5.00 for the rental of a table and $1.00 for a folding chair. The Georgia National Fair Fine Arts Exhibition will consider adding a “Select Feature” Fine Arts Classification for gourds in 2011. It was announced that the next membership meeting will be held at the show on Sunday morning, August 1, 2010 before it opens to the public. There is a planned GED in Jesup on May 8. It will be held in the community building at Cracker Williams Park. Please plan to attend some of the classes, bring show and tell pieces and a covered dish. If your patch would like to hold a GED meeting, notify Reggie and it will be posted on the website. The Budget committee Chairman Tina Norford presented the 2010 GGS Budget. She explained that the amounts of the income of $6,576.00 and the expense of $6,530.00 printed were based on an average over the last 3 years. A motion to approve the budget was made by Louise Horesovsky with a second by Troy Tatum. The 2010 budget was approved by the general membership. (The budget is posted on the GGS Website). During the budget discussion, it was asked if the Society could have a deficit budget. The President explained that there is no rule requiring the budget to be balanced. He felt that a motion to amend the budget could be presented, but would require notifying the general membership for at least 30 days in advance for a final approval. A motion was made by Gary Kostick with a second by Sandra Hutchins to amend the 2010 budget by adding a discrepancy fund of $1,000.00 to the 2010 Budget under control of the executive board. The Motion to amend the 2010 budget passed, but it must be advertised and approved at the next business meeting before it can take effect. The Ways and Means Committee report by Nancy Peterson was read by Sandra Hutchins. Sandra reported that the Columbus Garden Club wanted us to put together a tutorial explaining the process from growing gourds to crafting gourds. Sandra handed out information about the book the GGS wants to publish. This report explains what the book will consist of and asks that comprehensive tutorials be put together and turned in by March 15. A list of these tutorials and authors is included in the report. It will also give us the opportunity to sell advertising to be put into the book. This book will be pre-sold to the Columbus Garden Club. The price had not yet been determined. They also made it a point for us to get out as much information about gourding as possible. As for Unfinished Business, Louise Horesovsky explained to everyone that the board approved a motion to hire Lee Nelson to conduct a seminar on Friday evening, July 30, 2010 at the GGS show in Perry. The President stated that a nominal fee would be charged for attending the seminar. Mr. Nelson charges a total of $350.00 to conduct a mini-seminar on “How to price art”. It is open to an unlimited number of attendees and would be administered by the Show Workshop Chairman Tina Norford. His seminars attract many who want to learn the correct way to market their arts and crafts. Troy Tatum moved that we sponsor this seminar with a second by Sandra Hutchins. The motion passed. In New Business, Publicity Committee Chairman Sandra Hutchins told the members that the Bloomin’ Gourd was published quarterly and posted on the website. She expressed her concern that anyone could go on the GGS website and download it. She proposed that it be published under a password protected link. Sandra said that because the BG was a perk of membership it should be accessed by paid GGS members only. Past issues from two (2) years and further back could be made accessible to everyone. A motion by Troy Tatum moved and a second by Louise Horesovsky that this matter be tabled and referred to the Membership Committee. Motion passed. A reminder was made to the membership that an area would be set up on Saturday afternoon during the show in order for each patch to show off their examples of work.
