Minutes of Georgia Gourd Society Board
Meeting
The meeting was called to order by Reggie Eakin, President, at 10:00 am. Members present for the meeting were Reggie Eakin - President, EllenTatum – Vice President, Sandra McGurn – Secretary, Tina Norford – Treasurer, Louise Horesovsky, Elly Groover, and Sandra Hutchins – Directors, for a total of 7. Husbands and wives present were Janet Eakin, Troy Tatum, Steve Norford, Ronnie Hutchins, and Bob Horesovsky, bringing total member attendance to 12.
The minutes for board decisions between Oct 4, 2009 and Feb 6, 2010 were distributed, read, and approved as written.
Tina Norford, Treasurer, reported a balance of $12,353.11 in the account as of February 6, 2010. Tina reported the annual IRS filing for the GGS was E-filed online. She also reported that teaching proposals for the GGS show in Perry from July 30 to August 1, 2010 were all in and that to accommodate all of the requests for teaching slots, there would be four (4) different classes going on in each time slot for a total of 20 classes being offered.
President, Reggie Eakin handed out a copy of the Membership Chairman’s report submitted by Bob James. The reported stated that to date there have been 46 renewals of old/new members plus 3 lifetime members, for a total of 49 active members at this time. He also reported that 117 members have not renewed at this time and that a card was sent to each one as a reminder that dues have not been paid. The report was approved as read.
The President’s report was handed out and read by Reggie Eakin. The list of 2010 gourd show workers was gone over with additions. The Geechee Gourders patch and the O’ My Gourd patch had volunteered to make the table decorations. Under vendor coordinator/layout, Troy Tatum would take over for Harlan Groover. For the Georgia “Show and Tell”, Troy Tatum suggested that each patch display projects that they are currently doing on Saturday afternoon July 31.
Cox Catering Services at the Georgia Fairgrounds will cater the Saturday evening meal for a fee of $12.50 each. The instructor and vendor applications, categories, rules, and competitions have been and/or would be available online and in the Bloomin’Gourd. The Georgia National Fair has not responded to a request to add Fine Art Gourds to their competition.
The society is required to hold at least two (2) Membership meetings a year. It was decided that the February 6 meeting was our spring meeting. A number of possible dates were presented and August 1 was chosen as our Fall Membership Meeting. A GED is planned in Jesup hosted by two patches O My Gourd and Southern Gourds on May 8 and will be advertised on the GGS Website.
The President opened a discussion among the board members regarding amending some by-laws to change officer election timing and provide a written process to amend the budget. He explained that the voting procedures did not give enough time for the newly elected officers to have a budget in place by the beginning of the new fiscal year. The president presented the suggestions from Nancy Peterson and Bob James that more money should be made available for seminars, GED, and other non-budget items. The secretary read aloud from the Constitution that adhering to Article 6 – Amendments, the By-Laws could be amended by a two-thirds majority vote of members present at a Membership Meeting with the provision that all members have been notified of the proposed amendments thirty (30) days prior to the meeting.
Sandra Hutchins, Tina Norford, and Charlotte Durrence will serve as the review committee to present their recommendations to the executive board. The board members voted to proceed with a review and the recommendation would be posted on the website and in the BG newsletter at least 30 days prior to the show so that these proposals can be voted on during the August 1 general membership meeting.
Budget Committee Chairman Tina Norford presented the proposed budget for 2010. She explained that the amounts of the income of $6,576.00 and the expense of $6,530.00 printed were based on an average over the last 3 years. The 2010 budget had been approved by an e-mail vote of the executive board and would be presented for membership approval at the general meeting in the afternoon.
Committee Reports: Publicity Chairman Sandra Hutchins reported that the current copy of the Bloomin’ Gourd will be available online shortly including the minutes from this meeting. She also reminded us about getting advertisers for the newsletter. Sandra also stated that she had not been getting all of the correspondence from the I-Contact account. Sandra McGurn also stated that she did not get any of that information. Reggie explained that it would have to be looked into but, he thought that if each of them added another email address, and sent it to Bob James they could be included in the program.
As for Unfinished Business, Louise Horesovsky presented information on the seminars offered by Lee Nelson. His fees were discussed and board member Sandra Hutchins made a motion that was seconded by Sandra McGurn and approved by the members present to offer a seminar by Lee Nelson at the show on Friday evening, July 30, 2010 from 5:30 pm to 7:00 pm. President Eakin and Louise Horesovsky will work out the details.
As for New Business, Sandra Hutchins opened a discussion about having the link to the Bloomin’ Gourd newsletter password protected. She stated that members who paid the $10.00 yearly dues should be the only ones allowed to open the link to the newsletter. By making the link accessible to everyone, some members may feel that they are paying for nothing. President Eakin noted that the I-Contact account is based on volume and there may be an additional fee for this service. This matter will be further discussed at another time.
With no further business, the meeting was adjourned at approximately 12:00 pm for lunch.
